Petvol Business Outreach Privacy Notice
Last updated: September 6, 2026
Who we are
Petvol ("Petvol", "we", "us", or "our") operates the Shared Care platform at www.petvol.com. Petvol helps pet households and caregivers organise care information for communication with licensed veterinarians. Shared Care is the core product value of our service. In our Terms of Service, Petvol and its operators are the parties responsible for the service. For questions about this notice, contact support@petvol.com. Privacy-related requests may also be sent to privacy@petvol.com.
Who this notice applies to
This notice applies to UK business contacts we may reach for relevant, limited B2B partnership outreach — for example representatives of veterinary clinics, pet-care businesses, or other organisations that may have a legitimate professional interest in Petvol Shared Care. It does not replace our general Privacy Policy, which covers personal data processed when people use the Petvol product as customers or account holders.
What business contact data we may use
Depending on the outreach, we may use limited business contact details such as:
- Business or organisation name
- Role or job title where publicly available
- Work or generic business email address
- Business phone number or website contact details where publicly available
- Publicly available business address or locality
- Notes needed to manage outreach relevance, replies, and suppression requests
We prioritise generic business inboxes (for example info@, contact@, or clinic@ addresses). We do not guess email addresses, and we do not use private personal email addresses for this outreach.
Where the data comes from
Business contact information may come from:
- Public business websites and published clinic or company contact pages
- Other publicly available commercial sources, such as directories or public business listings
- Information you provide when you reply to us or request materials
- Our own records of previous professional correspondence, where relevant
We do not buy unknown cold contact lists for this outreach.
Why Petvol uses it
We use this information only for relevant, limited B2B purposes, including to:
- Introduce Petvol Shared Care to organisations that may reasonably benefit from coordinated pet-care record-keeping
- Explore professional partnerships, referrals, or related business collaboration
- Respond to enquiries and manage follow-up where appropriate
- Maintain suppression lists so we honour objections and unsubscribe requests
Legitimate interests where applicable
Where UK data protection law requires a lawful basis, we typically rely on legitimate interests for limited B2B partnership outreach that is relevant to the recipient's professional role and to Petvol's Shared Care offering. We balance those interests against individuals' rights and expectations, keep outreach limited and role-relevant, prefer generic business emails, and stop marketing contact when someone objects or unsubscribes.
Safeguards
- Outreach is relevant, limited, and connected to Petvol Shared Care
- We prioritise generic business email addresses
- We do not guess email addresses
- We do not use private personal email addresses for this outreach
- We do not purchase unknown cold lists for this outreach
- After an objection or unsubscribe request, we stop marketing contact and keep only what is needed to honour that request
Retention
We keep business outreach records only for as long as needed for the purposes above, including managing replies and suppression requests, unless a longer period is required or permitted by law. When outreach data is no longer needed, we delete or de-identify it in line with our retention practices.
Service providers / recipients
We may share business contact data with service providers who help us operate outreach and related business communications — for example email delivery, hosting, or operational tools — under appropriate confidentiality and processing terms. We do not sell this data. Recipients may also include professional advisers where needed, or authorities where required by law.
International transfers
Petvol uses secure cloud infrastructure. As described in our Privacy Policy, data may be stored or processed on systems with data centres in the United States and other regions as required for service delivery. Where international transfers of personal data occur, we use appropriate safeguards required by applicable law.
Individual rights
Depending on applicable UK data protection law, you may have rights to request access, correction, erasure, restriction, or portability of your personal data, and to object to certain processing. To exercise these rights, contact support@petvol.com or privacy@petvol.com. Further information about rights when using the Petvol product is set out in our Privacy Policy.
Right to object to direct marketing
You have the right to object at any time to the use of your personal data for direct marketing, including B2B partnership outreach emails. Once we receive your objection, we will stop marketing contact.
How to unsubscribe / object
To unsubscribe or object to Petvol business outreach, email support@petvol.com with "unsubscribe" or "object to outreach" in the subject line, or use any unsubscribe method included in an outreach message. After we process your request, we will stop marketing contact.
ICO complaint information
If you are unhappy with how we handle your personal data, you may complain to the UK Information Commissioner's Office (ICO). More information is available at ico.org.uk/make-a-complaint. We encourage you to contact us first at support@petvol.com so we can try to resolve your concern.
